Fee Refund, Cancellation & Deferral Policy
ICT Academy of Kerala
Effective Date: 1st April 2025
1. Purpose
This policy governs the refund, cancellation, transfer, and deferral of fees paid by candidates for training programmes offered by ICT Academy of Kerala (“ICTAK”). It is intended to ensure a fair, transparent, and consistent process for all candidates. Payment of any programme fee shall be deemed as acceptance of this Refund Policy and all applicable Terms and Conditions of ICTAK.
2. Definitions
For the purpose of this policy:
- Programme means the training programme offered by ICTAK.
- Candidate means the person who has registered for an ICTAK programme.
- Programme Commencement Date means the date officially notified by ICTAK as the commencement date of the Programme.
- Working Days means Monday to Friday excluding Government holidays.
- Refund Request means a written request submitted through the registered email ID.
- Registered email ID means the email address through which the candidate has registered for the programme.
- Registration Fee means the application fee paid by the candidate while applying to the programme.
3. Eligibility for Refund
A candidate shall be eligible for refund only under the following circumstances:
3.1 Programme Cancellation
If ICTAK cancels a programme due to insufficient enrolment, operational reasons, or any other reason, the candidate shall be eligible for refund after deduction of:
- GST and statutory deductions wherever applicable, and
- any non-refundable registration fee, if applicable.
3.2 Voluntary Withdrawal Before Programme Commencement
Refund requests received at least 5 calendar days before the Programme Commencement Date shall be eligible for refund after deduction of:
- applicable payment gateway charges;
- GST and statutory deductions wherever applicable; and
- any non-refundable registration fee notified at the time of admission.
3.3 Programme Postponement
Where ICTAK postpones the commencement of a programme by more than 30 calendar days from the originally announced commencement date, the candidate may either:
- continue with the revised schedule; or
- request a refund under this policy.
4. Cases Where Refund Will Not Be Granted
Refund shall not be available in the following cases:
- Requests received less than five calendar days before programme commencement.
- Requests received after commencement of the programme.
- Candidate remains absent from classes.
- Candidate voluntarily discontinues the programme.
- Candidate fails to submit mandatory documents.
- Candidate is removed due to disciplinary action.
- Candidate violates ICTAK policies.
- Candidate is terminated for misconduct, malpractice, or fraudulent activities.
- Candidate fails to complete payment obligations.
- Scholarships or sponsorships are withdrawn due to the candidate’s default.
- Candidate secures employment after joining the programme.
- Internet connectivity issues or personal technical limitations for online programmes.
5. How to Apply for Refund
Refund requests shall be submitted only through the registered email ID used during admission to:

The request shall include:
- Full Name
- Mobile Number
- Registered Email ID
- Programme Name
- Batch
- Date of Payment
- Transaction ID
- Amount Paid
- Reason for Refund
- Bank Account Holder Name
- Account Number
- IFSC Code
- Bank Name
- Cancelled Cheque/Passbook Copy (if required)
Incomplete applications may delay processing.
6. Refund Processing
Upon receipt of the refund request:
- ICTAK may verify the authenticity of the request.
- Additional documents may be requested.
- Refunds approved under this policy shall normally be processed within 30 working days after completion of verification.
- The processing time of banks/payment gateways shall be beyond the control of ICTAK.
7. Mode of Refund
Refunds shall normally be made:
- to the candidate’s bank account furnished during refund request.
*Cash refunds shall not be entertained.
8. Deductions
The following deductions may apply wherever applicable:
- Payment gateway charges
- Banking charges
- GST already remitted
- Statutory taxes
- Non-refundable registration fee
- Charges payable to third-party service providers
9. Batch Transfer & Deferral Policy
Subject to seat availability, ICTAK may permit a one-time transfer to another batch if requested at least five calendar days before the programme commencement. Approval shall be solely at ICTAK’s discretion.
Conditions:
- Only one batch transfer / deferral is permitted.
- Request must be made before programme commencement or within the period notified by ICTAK.
- Necessary supporting documents shall be submitted.
- Administrative fee of ₹2,000 shall apply.
- Deferral shall be valid only for the immediate next available batch and, in any case, within six months.
- Programme fee revisions, if any, shall be payable.
10. Force Majeure
ICTAK shall not be liable for delay, suspension, postponement, or cancellation caused by events beyond its reasonable control, including but not limited to:
- Natural disasters
- Floods
- Pandemic
- Government Orders
- Civil unrest
- War
- Lockdown
- Internet or utility failures
- Fire
- Labour disputes
In such cases ICTAK may reschedule, postpone, move the programme online, or provide alternative arrangements instead of a refund.
11. Right to Modify Programme
ICTAK reserves the right to modify:
- curriculum,
- faculty,
- schedule,
- venue,
- learning platform,
- assessment methodology,
- delivery mode (offline/online/hybrid)
without constituting grounds for refund.
12. Fraudulent Transactions
ICTAK reserves the right to withhold refunds where payment has been made through:
- unauthorized cards,
- disputed transactions,
- fraudulent means,
- chargeback requests.
Such matters shall remain subject to investigation.
13. Limitation of Liability
ICTAK’s liability under this policy shall be limited solely to refund of fees, where applicable.
ICTAK shall not be liable for:
- travel expenses,
- accommodation expenses,
- loss of employment,
- loss of opportunity,
- indirect or consequential damages.
14. Dispute Resolution
Any dispute arising out of this policy shall first be resolved through mutual discussion.
15. Policy Amendments
ICTAK reserves the right to amend this Policy from time to time. Any revisions to this Policy shall be communicated to the candidates through appropriate means and shall become effective from the date specified by ICTAK. The latest version published on the official website shall supersede all previous versions.
